Job Description:

Charity Navigator is looking for an Executive Assistant to join our team at our Saddle Brook, NJ office. Currently, our team is working remotely to comply with CDC guidelines during the pandemic, and as such, this position will be fully virtual in the interim. 

The Executive Assistant will provide day to day executive support to the CEO and be the primary coordinator between the Executive Team and the Board of Directors.  They will also assist with daily office operations, board meetings, and meeting minutes. This energetic and dedicated individual will be the first point of contact most people have with the organization and will, therefore, play a pivotal role in agency communications with all outside stakeholders.

You are: 

  • Passionate about the nonprofit space 
  • A great communicator who’s able to effectively speak and write with both your superiors and teammates alike. Contacts include the Board of Directors, donors/funders, media, consultants, advisors, etc on behalf of the CEO and other executives. 
  • Able to support multiple people at once, experience working with a Senior Team required.  
  • Extremely detail-oriented, with great organizational and project management skills and proficiency with associated tools. 
  • Independent and adaptable to a fast-paced environment with often changing and competing work priorities 
  • A multitasker who’s able to prioritize competing duties with grace and composure 
  • Proficient with Slack, Microsoft Office and Google Suite, previous experience with Confluence, UpRaise, Jira  and managing data imports or CRM, a plus. 
  • Excited to learn new technologies and help create structure for your team! 



  • Calendar Management: You will be responsible for managing all communications and relationships on behalf of the CEO. You are comfortable coordinating support to the CEO to facilitate effective day-to-day operations. 
  • Board Management: You are able to effectively manage a Board of Directors for quarterly meetings, and ad hoc meetings. This includes scheduling committee calls, preparing documentation for all meeting presentations, coordinating location and logistics, taking minutes, and any other follow-up, as needed for our 20-person board
  • Project Management: You have the ability to keep track of meeting takeaways/action items and coordinate amongst multiple stakeholders in real time. You are able to work cross-functionally amongst an executive team to create structure, maintain succinct minutes for staff and leadership meetings and are able to ensure deadlines are met. Following-up on requests and crafting brief emails comes natural to you. 
  • Office Management: You will be the first point of contact at CN to greet and assist visitors. Further, you will be responsible for collecting and distributing mail, shipping items and maintaining an inventory of office supplies. 
  • Fundraising/Development Operations assistance: From time to time you are able to provide additional support to fundraising/development operations through 
    • efficient and accurate data entry of gifts/donations information and generation of donor acknowledgments utilizing a customer relationship management (CRM) system. 
    • redirect or answer donor inquiries/requests by mail/phone/email/internet 
    • write handwritten thank you notes to donors.

This is an exempt position. Salary is paid on a bi-weekly basis in accordance with Charity Navigator’s standard payroll practices for employees.
